For added security and auditing, organizations can configure the system to capture a non-biometric photo during each punch. All punch events, along with associated images, are accessible in the CloudApper Admin Portal, providing a clear audit trail for HR and operations teams.

Real-Time Schedule Retrieval

Before processing any punch, hrPad queries the Workforce Management (WFM) system to retrieve the employee’s daily schedule. This ensures that punches are aligned with scheduled shifts and job assignments, creating a seamless integration between time tracking and workforce planning.

Location-Based Validation for Compliance

If a Schedule Exists:

  1. Location Validation – hrPad automatically extracts the scheduled location from the WFM system and validates it against the kiosk’s assigned location.
  2. Mismatch Handling – If the employee attempts to clock in from an unauthorized location, hrPad prevents the punch from being submitted and displays an error message on the tablet. Simultaneously, an email notification is sent to the employee’s manager to alert them of the mismatch.
  3. Match Handling – If the location matches, the punch is submitted directly to the WFM system. Job and location auto-transfers are handled seamlessly based on the employee’s schedule.

If No Schedule Exists:

  1. hrPad identifies the tablet’s location via its email alias.
  2. Employees clocking in from their home location can successfully submit a punch, while punches from other locations trigger an error message.
  3. Any WFM errors are displayed on the tablet and sent to the employee’s manager via email for immediate resolution.
